The Role

The position will report directly to our Director, Corporate Events and Field Marketing for North and Latin America, collaborating with senior leaders across the company to scope, plan and execute customer facing events. This will include managing all logistics and planning from inception to completion including site selection, contract negotiation, F&B, space planning and budget management. This role interacts with all levels of the organization as well as outside vendors.

Your Impact

  • Directly managing and executing AspenTech hosted events as well as participation in major conferences, meetings, trade-shows and sponsorship's.

  • Ensuring that event branding and messaging is clear, consistent align with strategic objectives of AspenTech

  • Preparing and managing budgets to achieve operational efficiencies and deliver projects within agreed timeline and budgets

  • Making strategic recommendations

  • Negotiating vendor contracts and managing vendor relationships including RFP, site visit, contracts, purchase requests and purchase orders, and payment

  • Managing vendors onsite (e.g. venues, AV, service providers, catering, promotions, printing, shipping, exhibit house etc.)

  • Managing and executing food & beverage, housing, transportation, signage, security, audio visual, contract negotiations and registration

  • Setting up and managing event registration systems, including working with finance for payment terms and collections, printing, onsite badging, and onsite vendor management

  • Working with cross-functional teams to make improvements and share/receive best practices with internal team members and event vendors

What You'll Need

  • Bachelor's Degree in Marketing, Business, or related field

  • 7-10 years’ experience with event management

  • Certified Meeting Professional designation (CMP) desired

  • Proven success in partnering with sales, product/industry marketing, programs, and others to deliver high quality programs

  • Experience using CVENT, eTouches, Salesforce, Eloqua or similar event managements

  • Demonstrated success in project management across functional teams

  • Ability to effectively multitask and manage several initiatives at once

  • Excellent written and verbal communication skills

  • Detail oriented

  • Proven success in managing budgets

  • Position requires 15-20% travel
